Mind Of My Own Change From Dropbox to SharePoint

< 1 min read

Learn how Mind Of My Own successfully migrated over 100,000 files from Dropbox to Microsoft 365 SharePoint. It highlights the challenges faced during the transition, such as file naming issues and access problems, and how the team overcame them to streamline document management, improve access, and reduce costs.

At Mind Of My Own, we are certified for both ISO 27001 and ISO 9001. As one of our objectives this year, the Governance Team was tasked with transitioning all the company documents from Dropbox to Microsoft 365—Sharepoint. Given some of the comments that appeared online, it seemed quite a daunting task.

We set goals, but we had to remember to check that all files, including Excel, Word, JPEGs, and PDFs, had been successfully transferred. It was a task and a half, but with over 100,000 files transferred, we did it in just over a week.

I am not saying that there weren’t problems..

SharePoint didn’t like some of the documents because either there was a space before the file name or after them, or the file had a ‘number’ or a ‘character’ it did not like or Dropbox paper docs – which meant us having to convert them to pdfs before transfer.

Some folders once transferred had to be rechecked as access could not be gained by team members – so it meant us redoing them all over again.

But I have to say we managed to overcome all the hurdles thrown at us and completed the task before our deadline.

With the transition it has allowed us to tidy up all the folders, separate certain sections to allow easy access and box off a lot of archived material.

And the biggest win?

Carrying out this exercise was cutting monthly costs in this ever changing world.
